Description
The Secretary performs routine clerical, secretarial and administrative work in answering telephones, receiving the public, providing customer assistance, data processing, and record-keeping.
Supervisor: Program Manager
EDUCATION AND EXPERIENCE REQUIRED:
- High school diploma or equivalent
- One year administrative experience
ESSENTIAL FUNCTIONS:
- Greet and assist visitors
- Answer and direct phone calls
- Send out and receive mail
- Track and monitor van usage
- Manage supply inventory and purchases
- Maintain purchase order system
- Appropriately code all invoices/bills with department codes
- Receive/Process/Mail Accounts Payable
- Manage all filing
- Follow up with any past due invoices
- Break down credit card statements for Managers/Directors
- Monthly invoice breakdowns
- Assist employees with Paycom accounts
- Run DSW checks, copy driver’s licenses and car insurance for scheduled interviews
- Run DSW checks every six months for all indicated staff
- Run monthly OIG checks for all indicated staff and vendors
- Print monthly copy counts from all printers/copiers in respective office
- Issue and track gloves and timesheets picked up daily
- Provide general support as needed

- Excellent interpersonal and written communication skills
- Multi-tasking with attention to detail
- General office skills
- Experience operating office equipment
- Proficient in Microsoft Word & Excel
SUPERVISORY RESPONSIBILITIES:
None
PHYSICAL DEMANDS:
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend, stoop or stand as necessary.
