Secretary

Grand Coteau, Louisiana

Description 

The Secretary performs routine clerical, secretarial and administrative work in answering telephones, receiving the public, providing customer assistance, data processing, and record-keeping.

   

Supervisor:  Program Manager

EDUCATION AND EXPERIENCE REQUIRED:

  • High school diploma or equivalent
  • One year administrative experience

ESSENTIAL FUNCTIONS:

  • Greet and assist visitors
  • Answer and direct phone calls
  • Send out and receive mail
  • Track and monitor van usage
  • Manage supply inventory and purchases
  • Maintain purchase order system
  • Appropriately code all invoices/bills with department codes
  • Receive/Process/Mail Accounts Payable
  • Manage all filing
  • Follow up with any past due invoices
  • Break down credit card statements for Managers/Directors
  • Monthly invoice breakdowns
  • Assist employees with Paycom accounts
  • Run DSW checks, copy driver’s licenses and car insurance for scheduled interviews
  • Run DSW checks every six months for all indicated staff
  • Run monthly OIG checks for all indicated staff and vendors
  • Print monthly copy counts from all printers/copiers in respective office
  • Issue and track gloves and timesheets picked up daily
  • Provide general support as needed

  • Excellent interpersonal and written communication skills
  • Multi-tasking with attention to detail
  • General office skills
  • Experience operating office equipment
  • Proficient in Microsoft Word & Excel

SUPERVISORY RESPONSIBILITIES:

None

PHYSICAL DEMANDS:

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend, stoop or stand as necessary.
